Often people who are very good in business will have their friends come to them when they have an idea of a new company to start. Generally, we all recommend that it makes sense to prepare a business plan to help bring investors on board, or to take to the bank to borrow the money to start their company. Still, it is a lot of work to prepare a business plan, and it is even harder if the individual wanting to start the new firm doesn’t know where to start themselves.

This is why I recommend if you are doing such entrepreneurial planning that you discuss many things with the person who has the concept for the new venture, and work with them every step of the way. One way I have found to do this, is to prepare an outline prior to creating the plan, and then ask the entrepreneur:

“If you can give me a sentence or two under as many of the headings as possible, this will help speed up the process. So the plan is convincing, don’t worry we will constantly be changing it as we go, saving old drafts. It’s about “planning” not just completing it to show to your Angle or pitching to potential investors.”

Next, I explain that, “first, as I build this plan, I was hoping you might spend a couple of hours making some notes. Perhaps, print the outline I’ve prepared and think about it.”

A seasoned MBA student, small-business owner, or long-standing entrepreneur will have no problem putting together a plan if they have all the right information up front. Putting together a rough draft is not all that hard, if you have the major components in place. Once a rough draft business plan is put together, the person with the concept can then began to write in the margins, in between the double space sentences.

And if the process goes back and forth like this for three or four times, you are bound to have a solid strategy that looks and feels right, and it is ready to put to the test to secure the financial needs of the future business. Please consider all this.

Step 1) Have a VISION for your Small Business. What exactly do you want to do? What is the specific niche or demographic do you want to go after? The vision should be focused, clear, concise, and very specific. Without a clear vision for your small business, you’ll be shooting hither and thither. You need to spend a good deal of time and deep thought creating a clear vision for your small business. Large businesses–and if you become a large business–have the luxury of marketing themselves to many demographics. Think of how many demographics Coca Cola markets to. You, on the other hand, as a small business owner, need to go after one or two very specific niches in order to be successful. That brings us to step 2.

Step 2) Create MONTHLY FINANCIAL OBJECTIVES. How much money do you need to make in January? in February? In all subsequent months of the year in order to make your investment worth your while? These need to be realistic financial objectives based upon marketing objectives. Have a goal with each marketing strategy you undertake and track your goals to see if they come to fruition. If not, modify the means of achieving the goals. Don’t be a pie-in-the-sky dreamer who thinks that their 15 flyers in local grocery stores is going to bring in $10,000 in revenue in the month of December for example. Entrepreneurialism is for realists–not idealists. That brings us to step 3.

Step 3) Detail your MONTHLY EXPENSES. What will your expenses be in January? in February? in all subsequent months of the year? These expenses needs to be as detailed and as accurate as possible. Set up different categories and subcategories for each expense. That brings us to step 4.

Step 4) Be ACCOUNTABLE to your business plan for the whole year, especially to your monthly and yearly revenue as well as your expenses. Modifying your marketing strategy is understandable if it’s not hitting your goals after 3 months; however, your yearly financial goals need to remain consistent. We’re in small business to provide a good service and make a good living so, by all means, don’t sacrifice one for the other.

Unlike closed source software where you just have to take what you get, with an open source program the potential exists to tailor it to your specific needs with the help of someone who is able to program. This is an impossibility with commercial software.

There are, of course, some obstacles to converting from a commercial to non commercial software environment. Most people are unfamiliar with Linux and other open source operating systems, and this means that your business members will have to be trained to use the new software which can be costly and time consuming, but it’s a one time thing. The cash you save from making this investment far outweighs the energy required to undertake it. The system will pay for itself very quickly and the community that surrounds it is growing exponentially. There is no doubt that now and in the future, open source will be the place people look for the best small business software, and will only become more prevalent as time goes on. You will soon find after conversion that the flexibility and expandability afforded to you by such a setup far surpasses the environment you were accustomed to operating in.
